Our client is currently looking for an exceptional Finance, Payroll & Administrative Associate to help elevate the accounting and finance functions within the organization. The Finance, Payroll & Administrative Associate will have broad responsibilities that encompass multiple facets of the accounting and finance function and includes handling day-to-day AP/AR, monthly/banking reconciliations, payroll, and working directly with the CFO to ensure timely and accurate financial reporting.

As the Finance, Payroll & Administrative Associate you will: A day in the life
As the Finance, Payroll & Administrative Associate, you will have a diverse portfolio and be responsible for delivering multiple aspects of the accounting and finance function.
You’re day to day:
Progress billings
- Prepare invoices monthly for all contract progress jobs.
- Prepare invoices monthly for all T&M progress jobs.
- Coordinate with Project Managers system for invoicing.
- Generate WCB clearance certificates for all progress invoices.
- Generate Stat Decs for all progress invoices.
- Liaise with customers on any follow up questions.
- Update holdback summary monthly.
- Coordinate with Project Managers invoicing of holdbacks.
- Close out job sites in SAGE as required.
Service invoices
- Prepare invoices for all service jobs.
- Reconcile any differences between SMS hours compared to SAGE job reports.
- Receive customer payments by credit card and process.
- Close out job sites in SAGE as required.
Accounts receivable
- Weekly follow up of outstanding accounts.
- Record receipt of customer payments in SAGE.
- Receive customer payments by credit card and process.
Payroll
- Enter timesheets weekly.
- Process pay stubs for all hourly and salaried employees.
- Upload payroll to bank.
- Email employees pay stubs.
- Setup new employee hires in SAGE.
- Generate record of employment as necessary.
- Manage various payroll related duties for employees and processing changes.
- Upload apprentice hours monthly to ITA.
- Liaise with BC Construction Association, benefits provider.
- Assist employees with benefits questions.
- Reconcile benefits statements monthly and input changes into SAGE.
- Liaise with RBC for employee DPSP.
- Upload employee and employer contributions to RBC monthly.
- Prepare summary of employee average wage costs.
- Prepare T4s annually and reconciliation.
Government remittances
- Prepare and upload Receiver General Source Deductions.
- Prepare GST Return and process payment through online banking.
- Prepare and upload WCB remittances.
Monthly reconciliations
- Reconcile credit cards and post adjustments not recorded through payables.
- Follow up on missing invoices with shareholders.
Banking
- Prepare monthly bank reconciliations for all accounts.
Other
- Support in the implementation of new software (Jonas).
- Be a Jonas subject mater expert (SME) for the Accounting and Project Management Departments
- Assist in process and procedure development and identify continuous improvement opportunities with current processes.
- Other ad-hoc tasks as assigned by the CFO.
- Liaise between Admin/Accounting and Project teams to keep communication flowing.
Qualifications and preferred skills:
- High school diploma/GED required.
- Minimum five-year payroll/AR department experience.
- Minimum 5 years’ experience in an office environment preferred.
- Experience in the construction, engineering or electrical industry preferred.
- Attention to detail required.
- Excellent interpersonal skills.
- The ability to communicate in a positive, confident, and respectful manner to internal and external stakeholders is essential.
- Excellent overall verbal and written communication skills.
- Self-motivated and customer focused.
- Strong organizational skills, high attention to detail, ability to multi-task and ability to exercise independent judgment.
- Advanced Excel skills.
- Experience working with accounting software, Advanced SAGE 50 skills
- Preference to those with Jonas Enterprise experience
