THE OPPORTUNITY

Nahanni Construction is looking for an energetic and highly motivated Executive Assistant that will provide administrative support to the President and Senior Leadership. Reporting to the President, the Executive Assistant will play a key role in supporting the day-to-day operations for Executive Leadership, and support the coordination of their respective staff, internal and external stakeholders and the public. The ideal candidate is a consummate professional and experienced in handling a wide range of administrative and executive support-related tasks. They can work independently with little or no supervision and elevate the efficiency of the team. This opportunity will require you to be a natural problem solver – taking on new tasks and learning new technologies quickly while developing solutions, leveraging resources and driving outcomes.

A Day in the Life of the Executive Assistant:

In this important role as Executive Assistant, you will provide executive administrative support to the President and Executive Leadership by anticipating their needs and ensuring they are always met. You will lead the development and administration of office policies and processes and serve as a trusted advisor and primary point of contact for internal and external communication on all matters for the Executive Office. To perform this job successfully, the individual is expected to handle highly sensitive and confidential financial, legal, personnel and institutional information while exercising professionalism and discretion.

Role and Responsibilities

· Manage multiple calendars over multiple time zones, including scheduling meetings, appointments, speaking engagements, and traveling arrangements. Exercise discretion in committing time and evaluating needs.

· Compose draft email correspondence and respond to telephone calls on behalf of Executive Leadership, as required.

· Complete a broad variety of administrative tasks and projects, including, but not limited to, formatting proposals, designing and producing documents, financial spreadsheets, reports, presentations, maintaining contact lists, and completing expense reimbursement reports.

· Monitor upcoming deadlines and bring items forward for follow-up in a timely manner, follow up on status and completion of key action items.

· Coordinate meetings, including collection and preparation of information, scheduling, agenda preparation and taking meeting minutes.

· Support direct reports of the Executive Leadership team to ensure the smooth flow of information and activities across the organization.

· Coordinate travel arrangements (accommodation, flights, vehicles, etc.).

· Organize and manage internal filing system, including maintaining copies of all contractual agreements and other related business documents.

· Manage and perform office responsibilities including maintaining and replenishing of office materials and assisting with visitors.

· Assist with internal and external company-wide communication efforts.

· Other responsibilities and projects as needed by the executive leadership team.

What you bring to the Organization/Requirements

· 7+ years experiencing supporting c-suite level executives; construction-industry experience an asset.

· Diploma or Degree in Business or Communications or an equivalent combination of education/related experience.

· Ability to travel to Yellowknife

· Proven track record in building trusted relationships internally and externally.

· Strong communication skills (verbal and written), including proofreading skills.

· Expert knowledge and proficiency using Microsoft Office Suite, including experience creating executive-level presentations using PowerPoint.

· Strong research and analytical skills with an ability to understand and analyze a wide variety of data points.

· Exceptional attention to detail and time management skills with an ability to manage multiple projects in a fast-paced environment.

· Experience handling confidential and sensitive information and ability to show discretion.

· Willingness to go the extra mile and provide excellent customer service.

· Creative problem solver with a ‘hands-on’ approach to providing solutions.
